How We Built a Stress-Free Remote Workflow With Just 6 Tools
Slack burnout and overflowing email inboxes – many of us have been there. If you don’t have the right systems in place, remote work can be extremely stressful and quickly turn into chaos. As the founder of Aimers, I’m tasked with managing a remote-first global team of 40+ people. We’re a performance marketing agency driving growth for top SaaS and tech companies with paid campaigns. We operate in a fast-paced and competitive niche, so our workflows must be super-efficient and well-organized. After years of trial and error, my team and I have developed a stress-free and highly effective system for remote work. It’s based on these 6 tools: ClickUp: The One Tool to Rule Them All This is where everything happens. Tasks are organized, time is tracked, and communication flows seamlessly. If there’s one tool we can’t live without in a remote setup, it’s ClickUp. Period. Slack: Only for What’s Critical Slack doesn’t need to be your second inbox. We use it strategically – only for urgent matters or anything outside of our ClickUp tasks. And when we do use it, we keep it simple, clear, and free of clutter. #Watercooler chats? Yes. Work overload? No. Karma Bot: A Little Positivity Goes a Long Way Remote work can feel isolating. That’s why we use Karma Bot to ensure team members feel seen and appreciated. A quick “thank you” can go a long way, and it helps create a culture of positive vibes across the team. Google Workspace: Real-Time Collaboration Google Docs, Sheets, and Meet are our go-to tools for real-time collaboration. Forget the back-and-forth emails – everything’s live, seamless, and right where we need it. Tettra: No More Knowledge Silos Tettra is our internal knowledge hub. It’s where we keep all our important docs, guidelines, and processes. No more reinventing the wheel or having teams go in circles. Everything is easily searchable, so no one is left in the dark. Loom: Skip the Meeting, Share the Info Loom is a game-changer for us. Instead of pulling people into long meetings, we record quick videos that get straight to the point. Team members can watch them when it works for them (and speed up the playback to 1.5x/2x), saving us hours of meeting time. By using these tools, we’ve transformed remote work from a struggle into an optimized, efficient workflow. And trust me – it works. If you’re still drowning in Slack messages, emails, and never-ending meetings, these tools will help you level up.
